Solution / Field assurance

Capture the right field evidence against the right job, while the context is still clear.

A field evidence workflow guides workers through required checks, captures structured information and media with job context, and routes exceptions for review. GA Applications designs mobile forms, permissions, offline behaviour, evidence storage and office dashboards around the organisation's approved process; the software does not replace competent supervision or regulatory judgement.

Why it matters

Job context

Pre-fill identifiers, site and assigned activity from controlled records.

CHAPTER 01

Make the field task clear, quick and difficult to misfile.

The mobile experience should load the correct job and check, explain what is required and preserve progress when conditions are imperfect.

01.1

Job context

Pre-fill identifiers, site and assigned activity from controlled records.

01.2

Guided evidence

Use appropriate fields, conditional questions and media prompts without turning every task into a long survey.

01.3

Offline resilience

Show saved, pending and synchronised states and prevent silent loss or duplicate submission.

CHAPTER 02

Route exceptions and approvals to accountable people.

A form submission is not automatically proof that work is compliant; it must enter the correct review and escalation process.

02.1

Validation

Check completeness and plausible format while allowing genuine exceptions to be explained.

02.2

Exception queue

Surface failed checks, missing evidence and unusual values to a named reviewer.

02.3

Sign-off

Record the decision, identity, time and basis appropriate to the approved procedure.

CHAPTER 03

Build a traceable record without collecting unnecessary data.

Retention, access, media handling and correction rules should be designed before evidence begins accumulating.

03.1

Evidence timeline

Connect submissions, photos, reviews and changes to the relevant job event.

03.2

Controlled access

Separate worker, supervisor, client and audit views according to purpose.

03.3

Reviewable trends

Summarise repeated exceptions only after definitions and data quality are understood.

Questions worth resolving

What to clarify before committing.

Can forms work without mobile reception?
They can be designed for offline or intermittent use, subject to the device and application architecture. Users must see what is stored locally and what has synchronised.
Can the system prove regulatory compliance?
It can support an approved process and retain evidence, but compliance depends on the underlying procedure, competent people, complete records and applicable legal requirements.
How are photos handled?
We define capture context, file size, metadata, upload status, access, retention and correction rules before implementation.

Bring the real problem

Map one field check from assignment to reviewed record.

Bring the current form, job context and review path. We can identify the smallest mobile workflow worth prototyping.
