Business automation · New Zealand
A repeated task is a candidate, not a verdict. Before it runs without supervision, define the trigger, inputs, owner, exception, confirmation and way back. GA Applications can help observe the current process, choose what should remain human controlled and prototype the smallest controlled change. Sometimes the right first decision is to repair the process and not automate it yet.
CONTROLLED WORKFLOW MODEL
Choose a normal event or an incomplete input to inspect both paths.
Planning model only. No system connected. No command sent. Production behaviour requires scoped testing.
01 · Choose one candidate
Do not begin with a platform name. Begin with one event, the people involved and the evidence that proves the work finished. The first project should be small enough to observe and important enough to learn from.
The same detail is copied between an inbox, spreadsheet and document, while nobody can see which version is current.
A request waits for a decision, reminder or escalation, but silence is easily mistaken for approval or completion.
Related systems hold different parts of the record and manual re-entry causes delay, missing context or duplicate work.
A sensor, light, pump, barrier, camera or traffic device is involved. That introduces equipment, communications and safety boundaries.
03 · Choose the operating model
A manual procedure can be the mature choice. A connector, custom integration or physical controller adds different dependencies and evidence. Compare the operating burden before choosing the tool.
Swipe to compare all routes
| Route | Suitable pattern | Main operating burden | Acceptance evidence |
|---|---|---|---|
| 01Procedure or template | Low volume, unstable rule or high judgement. | Training, ownership and periodic review. | Sampled tasks stay accurate, findable and owned. |
| 02Assisted workflow | The system prepares and a person confirms. | Queue discipline, approver availability and fallback. | Approved, rejected, cancelled, timeout and delegate paths tested. |
| 03Unattended office automation | Stable, low consequence rule with reliable inputs. | Monitoring, credentials, duplicates and vendor changes. | Replay, retry, duplicate, partial result and rollback tests. |
| 04Integration or API | Supported systems with clear authoritative records. | Schema, versions, rate limits and reconciliation. | Sandbox and production outcomes reconcile end to end. |
| 05Physical monitoring | A sensor reports and a person acts. | Calibration, communications, alarms and maintenance. | Bench and site validation with physical observation. |
| 06Physical control | A project-specific engineered control is justified. | Safety lifecycle, local control, isolation and competent commissioning. | Formal project-specific checks by the responsible qualified parties. |
04 · Inspect ordinary failures
Automation must explain what it does when an input is late, a dependency fails or only part of the work completes. Filter the incident drawer to inspect the failure classes that matter to the proposed system.
Required value or format fails validation.
Do not continue. Explain the missing condition.
Corrected record links to the original event.
A request identifier has already been processed.
Prevent a second business outcome and retain both attempts.
One outcome with a trace of both submissions.
Timeout, connection error or explicit service response.
Separate retryable from terminal failure and limit retries.
Reconciled status after recovery or manual closure.
No decision arrives within the agreed period.
Escalate, delegate, cancel or hold. Never infer consent.
Named outcome, owner and timestamp.
Provider rejection, bounce or missing delivery evidence.
Keep the underlying task open and expose the failed notice.
Alternative contact or acknowledged manual follow-up.
One side effect succeeds before a later step fails.
Hold a recoverable state and prevent blind replay.
Reconciled side effects and documented next action.
Authentication or authorisation fails unexpectedly.
Stop the affected path and alert the named technical owner.
Access restored, reviewed and tested without exposing secrets.
Expected fields, values or business rules no longer match.
Quarantine uncertain records and trigger change review.
Updated version, regression test and controlled release.
Reading is missing, implausible, stale or disagrees with another source.
Do not treat uncertainty as a safe physical condition.
Qualified inspection, calibration or replacement evidence.
Heartbeat or confirmed data path becomes unavailable.
Use the project-defined local behaviour and preserve manual authority.
Physical state verified before normal operation resumes.
The system cannot establish an allowed operating condition.
Follow the project-specific safe response and escalation.
Competent review and documented recommissioning where required.
An alert remains unacknowledged beyond its response period.
Escalate to the defined role or use the documented fallback.
Acknowledgement, action and closure remain separate records.
05 · Automation Suitability Canvas
This worksheet works in your browser and does not submit or store what you enter. It considers conditions rather than calculating a deceptive maturity score. Unknown is a valid answer.
Use a short task label only. Do not enter customer records, personal information, credentials, security details or hazardous control instructions.
DECISION TRACE
The canvas will show the deciding conditions, the proposed investigation path and the tests needed before any production decision.
06 · Prototype, test and pilot
A concept, prototype, supervised pilot and production release are separate states. Each stage should leave evidence that another person can review.
Name the intended outcome and responsible business role.
Collect safe examples, open items and known workarounds.
Record rules, exceptions, false actions, delays and duplicates.
Compare a procedure, assisted route, integration or specialist control.
Keep production credentials and customer records out of early tests.
Exercise invalid input, timeout, duplicate, partial success and recovery.
Limit scope, name the operator and preserve the rollback route.
Compare expected and observed results end to end.
Confirm ownership, access, monitoring and unresolved limitations.
Retest when rules, credentials, vendors, data or equipment change.
Valid input produces one record, one approval and one confirmation.
The same event sent twice creates one business outcome with both attempts traceable.
A missing required value creates no action and returns a useful error.
An unavailable approver follows the agreed escalation or cancellation path.
A downstream failure after record creation remains recoverable and visible.
A cancelled request cannot trigger a later action.
07 · Operate it after launch
A monitored dashboard is not monitoring unless someone owns the response. The operating model should survive a staff departure, a vendor change and the temporary loss of the automation itself.
Owns the outcome, accepted rule and change priority.
Owns configuration, dependencies, releases and recovery.
Reviews failed, uncertain and unusually long executions.
Exercises the named authority with the required evidence.
Controls service accounts, access review, rotation and revocation.
Inspect failed, retried, cancelled and unusually long executions without exposing sensitive payloads.
Review source fields, credentials, connector versions, business rules, approvers and downstream systems.
Confirm that the outcome remains useful and that the manual fallback still works.
SECURITY, PRIVACY AND EXIT REGISTER
Use named roles, minimum necessary permission, supported multi-factor authentication and a controlled emergency-administration route appropriate to the selected systems.
Map why each field is used, where it came from, who receives it, how long it is retained and how a person can request access or correction where applicable.
Keep credentials and unnecessary personal information out of logs, alerts and ordinary support records. Name who rotates and revokes each service account.
Document how pending work is reconciled, records are exported, credentials are revoked and the former manual route is restored without creating duplicate actions.
08 · Physical systems boundary
Monitoring, alerting, control, isolation and site acceptance are different responsibilities. A public page or software demonstration cannot approve installation, energisation or operation.
What the device or sensor last communicated, including timestamp and uncertainty.
What was requested, by whom and whether supported feedback exists.
What the responsible people observed and accepted at the equipment or site.
09 · Continue to the right detail
Start with the operating problem, the asset and the person accountable for the outcome. Monitoring, approval, integration and physical control need different evidence, safeguards and maintenance.
Start with the event, responsible owner and evidence of completion.
Define authoritative data, uncertainty, last contact and maintenance ownership.
Separate an alert from a decision and a reported state from a physical outcome.
Keep authorised operation, local control and specialist responsibilities explicit.
WHAT CHANGES SCOPE, COST AND TIME
A responsible estimate follows discovery because the condition of the process, data, interfaces and failure paths changes the work more than an attractive front end.
How consistently the task is already performed and evidenced.
Supported APIs, versions, permissions, rate limits and vendor constraints.
Required validation, correction, migration and privacy handling.
The number, consequence and ownership of non-standard paths.
Roles, authority, identity controls and audit requirements.
Normal, boundary, failure, recovery and supervised-pilot checks.
Equipment, site access, licensed trades, engineering and commissioning.
Monitoring, change review, credentials, recovery and future ownership.
10 · Questions before commitment
We can help map and prototype controlled business workflows, integrations, monitoring and specified equipment interfaces. The written scope names the exact systems, access, data, responsibilities and specialist boundaries. We do not treat every repetitive task as suitable for unattended automation.
Sometimes. We first confirm current interfaces, permissions, data ownership, vendor constraints, error behaviour and an export or fallback route. A product name alone does not prove that a dependable integration is available.
No. An approval workflow should name the person or role, the evidence shown, the available decisions, the response period and the fallback. Silence, a sent notification and approval are separate states.
The required behaviour depends on consequence. A workflow may wait, retry within limits, route to an operator, preserve a manual process or use a project-defined local state. The exception and recovery evidence must remain visible.
No general guarantee is responsible. A supervised pilot can establish a baseline, measure the scoped outcome and expose new operating burdens. Automation can also make a poor rule run faster, so process repair may be the better first investment.
Map the data purpose, source, access, transfer, retention, deletion, credentials and monitoring across the proposed workflow. The appropriate controls depend on the systems and information involved and may require specialist legal, privacy or security review.
Regulated installation, certification, engineering, traffic and other specialist duties remain with appropriately qualified and authorised parties. GA Applications can define and coordinate agreed software, information and interface boundaries where the project supports it.
Send a non-sensitive description of the event, current steps, owner, known exceptions and desired outcome. For equipment enquiries, include model labels and ordinary site photos only when safe and authorised. Never send passwords, live customer records or instructions to bypass safeguards.
A controlled first conversation
GA Applications is based in Christchurch and works with organisations across New Zealand. Start with one repeated task or one specified asset. We can help determine whether the next step is process repair, an assisted prototype, a bounded automation or specialist assessment.
